Job Description for OFFICE ADMINISTRATOR

The Office Administrator (OA) is responsible for maintaining the administrative life of the church.
Hours
The OA will work 20 hours per week on a schedule mutually agreed upon with the Pastor, or, in the Pastor’s absence, the Vice President of Consistory
Duties
The Office Administrator (OA) is responsible for providing administrative and secretarial support for the Pastor, ARC committees, and task force volunteers.
Supervision
The OA reports directly to the Pastor.
Qualifications
Some of the qualifications are as follows
Excellent interpersonal skills, including in-person, telephone, and email.
Ability to reflect the values of the church to the greater community, courtesy and positivity while fulfilling duties.
Ability to work with confidentiality and discretion when needed.
Proficiency in Microsoft Office, Google Workspace, and the ability and willingness to learn other computer-based platforms and tasks.
Ability to work with minimal supervision
Excellent organizational and administrative skills, and the capacity for rapid task-switching.
Prior office experience preferred
Office Administrator Job Duties
Management over the Church Office
Answering phone calls, checking messages, and relaying calls and messages to appropriate recipients. Checking and responding to email.
Receiving people who come into the church office
Payment of particular bills, including keeping records of bills paid
Renewal of particular contracts
Picking up mail from the Post Office, sort, and pass on to appropriate people.
Maintaining all official church records and church directory
Maintaining church calendar
Working with editor of the church newsletter
Distributions to the church’s email list.
Maintaining church’s website
Support for Church Committees
Receiving minutes and maintaining records of committees
Help with scheduling when needed
Ordering supplies
Scheduling and being present for servicing and inspections of building
Creating flyers and volunteer/participation sign up sheets as needed
Printing and copying materials as needed
Assisting the Board of Deacons in processing requests for assistance.
Preparation for Liturgical Services
Prepare the weekly bulletins (including photocopying and collating) and inserts under the direction of the Pastor and/or Worship Life Committee. This may include contacting appropriate individuals regarding the week’s information.
Ensure that information in the bulletins is neatly laid out.
Maintenance of the weekly “sermon sacks” prepared by the OA for use by the young children of the congregation.
Maintaining welcome bags for visitors.
Other tasks as assigned.
Salary: $20,000-$23,000
The Altamont Reformed Church is seeking a part-time Office Administrator (20 hours/week) to support the daily operations of our church and assist the Pastor, committees, and volunteers. This role includes managing communication, maintaining records, preparing worship materials, and keeping the church office organized and welcoming. The ideal candidate is organized, friendly, and able to work independently while sometimes handling sensitive information with discretion. Computer proficiency (e.g. Microsoft Office and Google Workspace) and strong interpersonal skills are essential; prior office experience is preferred.
